How to import eBay active listings into Inventory Manager

Understand what the Active Listings import establishes

Inventory Manager keeps local physical stock separate from its last verified picture of eBay. The Active Listings report creates that initial eBay mirror: item IDs, seller SKUs or Custom Labels, available quantities, prices, photos, listing status, and variation details when present.

The import also does not revise, end, or create any eBay listing. It is a read-and-mirror workflow. Existing listing rows remain manageable even when Card Throne cannot assign a trustworthy catalog match.

Import directly from eBay (recommended)

1. Connect the correct eBay account from Inventory Manager.
2. Open the Imports workspace.
3. Select Import from eBay. No file is needed — Card Throne fetches every active listing from your connected account, including large accounts with tens of thousands of listings.
4. Leave the account connected while the import runs. You can safely leave the page; the import continues as a seller-scoped background job, saves its progress as it goes, and resumes automatically if it is interrupted.

The direct import carries data the Seller Hub CSV does not:

• Listing photos. Rows that were first built from a CSV and have no image pick up their eBay listing photo.
• Item specifics. A bounded number of listings per run are enriched with their eBay item specifics (language, year, finish, grading details, and similar fields). Repeated imports extend that coverage; existing local values are never overwritten.

Review the removals preview before anything is removed

After the first complete direct import, Card Throne compares the finished eBay picture against existing eBay-linked rows. Rows whose listing no longer appears on eBay are shown as a removals preview — nothing is removed automatically.

• Removal candidates are rows whose eBay listing was not found in a complete scan. Applying them retires only the eBay mirror; physical stock and Pull Locations are never removed.
• Duplicate rows are older extra rows whose listing is still live under another row for the same item. These are reported separately for cleanup and are not treated as ended listings.
• Select Apply removals only after spot-checking a few candidates against eBay. Until you apply, every row stays exactly as it was.

Fallback: download the original Seller Hub report

The CSV path remains available under Prefer the CSV report instead? in the Imports workspace. Use it when the direct import is unavailable — for example while the eBay connection is being repaired.

1. Open eBay Seller Hub. Generate or download the report for your active listings in CSV format.
2. Keep the downloaded file unchanged. Do not open and re-save it in Excel, Google Sheets, Numbers, or another spreadsheet editor.
3. Confirm it is the active-listings report. The importer expects real eBay Item numbers and the marketplace columns from that report, not a generic inventory spreadsheet.

Fallback: upload the file from Inventory Manager

1. Connect the correct eBay account from Inventory Manager.
2. Open the Imports workspace and expand Prefer the CSV report instead?.
3. Choose the untouched Active Listings CSV.
4. Select Upload and import.
5. Leave the file and account unchanged while the import is active. You can safely leave the page; the production import continues as a seller-scoped background job.

Verify listings before relying on the mirror

Open Inventory Manager > Inventory and spot-check several ordinary listings plus any variation parents or duplicate Custom Labels.

• eBay item ID and marketplace match the connected seller account.
• Title, seller SKU, price, available eBay quantity, and image look correct.
• Imported variations remain distinct by parent item plus exact child SKU or variation details.
• Listings with the same Custom Label still remain separate by eBay item identity.
• Physical Pull Locations are not invented from a generated group SKU.

Importing an eBay row can create the local inventory representation needed for later reconciliation, but the eBay mirror never replaces a proven Card Lister physical location history.

Use Check for changes after the initial baseline

Check for changes is a lightweight recent-events check. Use it when a listing was created or edited directly in eBay, Seller Hub, or another tool after your first complete, account-bound baseline. The button remains available later, but eBay exposes only roughly the last 48 hours of listing events.

Check for changes never imports orders, publishes to eBay, removes existing physical stock, or treats a missing listing as safely ended. Card Lister Push to Inventory results stage automatically and normally do not need this extra check.

Troubleshoot without damaging the source of truth

• Rounded item numbers: discard the edited CSV, download a new report, and upload the original.
• Wrong account or marketplace: connect the intended seller account and run a fresh baseline. Do not reuse a baseline from another account.
• Paused import: resume the saved run instead of beginning multiple overlapping imports.
• Missing or ended listing: run a fresh full Import from eBay and review its removals preview, not Check for changes alone.
• Quantity mismatch: sync awaiting-shipment orders before assuming the local physical count is wrong.
• Duplicate Custom Labels: verify by eBay item ID; a shared seller SKU is not permission to merge stock.
