Trading card order picking and fulfillment

Order Pick List turns awaiting-shipment sales into exact pull instructions. Sync the order, pull the displayed physical location, resolve anything uncertain, and use Mark Picked only after the stock is in your hand.

Set up pullable inventory before the sale

A pick is only as useful as its physical location. Every sellable unit should have a stable Pull Location before it appears in an order.

  • Import existing eBay listings through Inventory Manager > Imports.
  • Confirm the seller SKU and eBay item link for each listing.
  • Give physical stock an exact location SKU or pull label.
  • Keep variation children distinct by parent eBay item plus exact child SKU or variation details.
  • Use Card Lister Push to Inventory for new direct listings so the verified item link and physical location arrive together.
Active listings and orders are different feeds. An active-listings import — Import from eBay or the Seller Hub CSV fallback — can establish the current eBay quantity baseline, but it cannot tell you which awaiting-shipment buyer order needs to be pulled.

Sync awaiting-shipment orders

  1. Open Order Pick List. This is a separate page from Inventory Manager’s inventory and publish workspaces.
  2. Use Sync eBay Orders. Card Throne imports current awaiting-shipment orders and attempts to match each line within your seller scope.
  3. Let Card Throne reserve exact units. A safe match moves quantity from available to reserved at the chosen physical leaves. It does not create more stock.
  4. Review the Pick List. Ready rows show the location and quantity to pull. Problem rows remain visible for a decision.

If live API sync is unavailable or you need the report workflow, use the Order Import tab with an awaiting-shipment orders report. Keep the same seller account and marketplace context.

Read the row status before touching stock

For variation sales, the exact sold variation SKU must resolve to one child row. Card Throne does not consume a sibling merely because it shares the same parent item ID.

Pull first, then choose Mark Picked

  1. Work from the displayed Pull Location, not the generated listing or group SKU.
  2. Confirm the card, variant or finish, condition, and quantity against the order.
  3. Physically remove the item from its storage location.
  4. Choose Mark Picked.
  5. If the backend reports that the location became stale and shows a replacement, pull the replacement location before trying again.
Mark Picked completes the pull without double-counting the sale. A reserved inventory leaf moves to picked history. If the latest active-listing sync or CSV already reflected the sale, Card Throne records completion without reducing local or eBay-mirror quantity again.

The Pick List removes the row optimistically so normal save latency does not slow the packing table. If the save fails, the row returns for attention.

Handle exceptions without guessing

Short inventory

Search the physical location, check whether the order or listing identity is wrong, and compare the eBay mirror with local available stock. Do not mark a short row picked just to clear it.

Canceled orders

Canceling an order can release reserved stock back to available. Stock already marked picked does not automatically return to available; use the explicit correction workflow when a physically pulled item needs to move back to the Pick List.

Duplicate seller SKUs

Use the eBay item ID and sold variation identity. A common Custom Label on two listings is not enough to consume either row.

Bulk Mark Picked

Bulk completion is for green Ready rows only. Card Throne uses the correct accounting path for each row; Short and Needs review rows stay visible for their own decisions.

Publishing while orders are open

You do not need every reservation picked before Push to eBay. Keep Check eBay Orders enabled so new sales can be reserved before quantity revisions are calculated.

Use this fulfillment routine each shipping day

  1. Sync eBay orders before changing live quantities.
  2. Review new Ready, Short, and Needs review rows.
  3. Resolve uncertain identity before walking to storage.
  4. Sort the Pick List by the physical path that makes sense for your space.
  5. Pull the displayed locations and confirm the sale unit.
  6. Mark only physically pulled rows picked.
  7. Pack and ship through your normal marketplace workflow.
  8. Investigate remaining exceptions before the next inventory publish.
